Indian Lookout Mountain Cabin – Rental Policies
Housekeeping: Keeping your cabin tidy during your stay will be your responsibility. You will be responsible for leaving the cabin in good condition when you leave. Please treat our cabins as you would want guests to treat your home.
Payment: You must be 21 or over to book a reservation. Reservations must be secured with a valid credit card (Visa, MasterCard, Discover, or American Express). A refundable deposit of $400 and $50 cleaning deposit will be processed on all reservations. The $400 deposit will be refunded to your card within 7 days of departure, providing cabin is left undamaged. Your card will be charged 50% of total at the time of booking. The balance will be processed 14 days prior to arrival. Reservations made 14 days or less before your arrival must be paid in full at time of reservation. All guests must be 21 unless accompanied by parent or guardian.
Minimum Stays: A two-night minimum stay is required on all reservations. A three-night minimum stay is required during major holiday and Spring Break weeks. A four-night minimum is required over the 4th of July. One night stays will be considered in off-season only. A 10% up-charge will be added for pre-approved one-night stays
Rates/Maximum Occupancy: The rates listed on the website are based on the number of people that the cabin sleeps comfortably. A $20 per person, per night charge MAY be added for up to two additional people with permission. This includes children. All guests must be registered. Overcrowding is not allowed. Violation of these policies may subject property guest to immediate eviction from property without refund.
Cancellations: All cancellations must be made by telephone or email and we will follow up with a cancellation confirmation by email. If already collected the refundable $400 will be returned. We have a no refund policy on lodging. Weather conditions do not constitute an exception to the cancellations policies.
Changes: When you change your reservation by switching dates you will be charged $25. Changes must be made prior to 14 days before your arrival date/30 days prior to major holiday and spring break arrivals. Changing dates cannot be honored within two weeks of your arrival date for non-holiday stays, or within 30 days prior to arrival for all major holiday and spring break stays.
Driving Directions: Detailed driving directions to your cabin will be emailed to you 7 days prior to your arrival. Please print these before departing on your vacation. 911 has mapped the area but GPS is not available for all cabin addresses.
Check-In/Out Times: Check in is after 4:00 P.M. Check out is before 11:00 A.M. Late checkout is not permitted. An additional charge may be processed on your credit card for every hour past the stated 11:00 A.M. check out time.
Check-In Procedures: Prior to your arrival, an email will be sent which will provide detailed driving directions and a key code that you can use to unlock the cabin door. Please consult the cabin manual prior to calling. Satellite, gas grill and hot tub instructions are all provided in the cabin manual.
Check Out Procedures: Please do not leave dirty dishes in your cabin. Remove all food from the refrigerator and start dishwasher with detergent pods provided. An additional $85 cleaning charge will be processed on your credit card after your departure if the accommodations are left damaged or excessively untidy (such as unwashed dishes, pet urine, stains, or excessive hair on the furniture or carpet, cigarette butts found on property, stained linens or furniture, furniture rearranged, etc.). Items broken or missing from the cabin will be charged to your credit card accordingly. Shut and lock all windows and doors and lock the cabin door.
Pets: Some of our cabins are considered pet-friendly. A non-refundable $20 pet fee/per night will apply on all reservations which allow pets. The maximum number of pets allowed per cabin is two. Please make sure your pets are clean and free of fleas before your stay. Pets are not allowed to be on the beds or furniture, and you must crate them when you are away from your cabin. Remember, this will be a new place for your pets and they may not behave the way they usually do at home. Excessive pet hair, urine or stains will result in an additional $100 cleaning charge to be processed on your credit card upon your departure. Scratch marks or any other pet damage will be repaired and the cost will be processed on your credit card. Failure to comply with a cabin’s “No Pets” policy will result in a charge of an additional $200 per rental night and eviction without refund.
Smoking: All cabins are non-smoking cabins. Smokers are asked to use outside ashtrays and proper receptacles. Please do not throw cigarette butts on the ground. If the cabin smells of smoke, or there is any evidence of smoking inside the cabin, an additional cleaning fee of $200 per rental night will be processed on your credit card.
Hot Tubs: The replacement cost for hot tub covers is $400. Please do not allow anyone to sit or stand on the hot tub covers. This includes children. Please supervise children at all times while they are using the hot tub. No glass, soaps, creams, oils, bubbles, lotions, or food is allowed in the hot tub. Please shower before and after using the hot tub. Please leave the hot tub cover in place when not in use.
Trash: Place all trash inside the outside barrel and make sure to secure it with a tightly secured lid. Remember, you will be staying in a forest full of animals that would love to play in the trash and make quite a mess with it! Although we do not provide daily trash service, we will pick up trash on the third day of a four-night stay.
Please note: Inside gas fireplaces will be shut off May 1st- Oct 1st.
Quiet Hours: Quiet hours begin at 11:00 P.M. Shooting guns, fireworks, or other explosives are not allowed on any of the cabin properties at any time. Excessively loud music is prohibited at all times.
Internet/Satellite Service: Although all our properties do have Satellite service, ILMC is not responsible for internet or satellite service at any cabin.
No refund of rents shall be given for outages, content, lack of content, speed, access problems, lack of knowledge of use, or personal preferences with regard to services.
Cabin Electronic Equipment: A $100 fee will be imposed for tampering with electronic equipment that causes a service call. Do not unhook or disconnect any electronic equipment for video games or other devices. Video games or other devices may be connected to available HDMI slots only. Housekeeping will check electronics before arrival to ensure they are in working order.
Damages: Damaged or missing items will be charged to your credit card upon your departure. All cabins are inspected and inventoried prior to your arrival and immediately following departure. Please do not rearrange the furniture in your cabin. Doing so may result in damages. An additional $100 charge will be processed on your credit card after your departure if the accommodations are left damaged or excessively untidy (such as unwashed dishes, pet urine, stains, or excessive hair on the furniture or carpet, cigarette butts found on property, stained linens or furniture, furniture rearranged, etc.). Items broken or missing from the cabin will be charged to your credit card accordingly.
Lost or Left Behind Items: A $20 handling fee, plus actual shipping charges, will apply if you request us to pack and ship your items that are left behind.
ATV/UTV Riding: 4-wheelers as well as any unlicensed off-road vehicles cannot be ridden on cabin property; however they can be trailered and parked at cabin. Our properties are bordered by Three Rivers Wildlife Management Area. You must adhere to their rules and laws for off road riding. You will also be required to obtain a Land Access Permit to travel onto Three Rivers property either on foot or by vehicle. RV Parking & Tent Camping: RV and tent camping are not allowed on the cabin properties.
Wildlife Encounters: Due to the location of our cabins in forested areas, there is a chance guests will encounter some type of wildlife, insects or stray animals. Each property is professionally treated on a scheduled basis for interior pests, but due to the natural habitation of the forest, no refunds or compensation will be given for any problems resulting from pests inside or outside the cabin. Do not feed animals you may see around the cabin nor permit them to enter the cabin. Do not allow children to play with, pet or feed stray animals. We are not responsible for any wildlife or animal encounters of any kind. ILMC is not responsible for medical bills resulting from injuries resulting from encounters with wildlife or stray animals.
SECURITY POLICY: Your payment and personal information is always safe with ILMC. Our Secure Sockets Layer (SSL) software is the industry standard and among the best software available today. All of your personal and sensitive information is encrypted so that it cannot be read over the internet.
LIABILITY: All outdoor activities involve certain inherent risk of injury up to and including death. Every effort will be made to secure and make safe all facilities under our management. It is expressly understood and agreed that neither the owner, nor the management company of said premises, shall be liable for any damages or injury to guest, guest’s guests or their families, or to any of their property from whatever cause arising from the occupancy or use of the premises by guest and their family and guests.
Our hope is that our policies will help insure the expectations of all guests are met during their stay and that all reservations are handled properly, and that our quality of service remains above reproach.
